Customer Portal

Self-service your customers will actually use, because it starts from a link

Approve the estimate, sign it, pay the deposit, confirm the visit, watch the tech drive over, pay the invoice, join the maintenance plan — every step happens from a secure link in the text or email you already send. No app to install. No password to forget. A branded portal account is there for the customers who want one.

What your customer sees
The problem

Most customer portals are a login page nobody visits

Your customer needs you four or five times a year. They will not remember a password for that. So the portal that asks them to “sign in to view your estimate” quietly becomes a phone call to the office instead.

The password wall

“Create an account to approve your estimate” is where approvals go to die. Every field between the customer and the Yes button costs you jobs.

“Where’s my tech?”

The most common inbound call in home service is a question the dispatch board already answers. Your CSR relays it by hand, one call at a time.

Invoices that wait for a stamp

A PDF attached to an email gets paid when the customer gets around to it. A link that opens straight onto a Pay button gets paid on the couch that night.

Dispatch Scout flips the order. The link does the job first. The account is the bonus for customers who want history, memberships, and preferences in one place — never the toll booth in front of getting paid.

Two doors, one portal

Everything urgent works from a link. Everything else works from a login.

Each secure link is tied to one record, one purpose, and a short expiry. Tap it on a phone and the customer lands exactly where they need to be — no username, no password, no “forgot password” loop.

Links are scoped, signed, and short-lived. An invoice link opens that invoice and nothing else. A tracking link is only live around the visit. Password reset tokens expire in an hour. Nothing on the customer side is a guessable URL.

What they can do

The whole customer side of a job, handled without a phone call

Every action below writes straight back to the record in Dispatch Scout — the approval is on the estimate, the payment is on the invoice, the confirmation is on the appointment. Nothing to re-key.

Approve & sign estimates

Line items, totals, member pricing, and a signature box drawn with a finger. Require a signature or make it optional, per your policy. Decline is one tap too, so you hear No fast.

Collect deposits up front

Attach a deposit to any estimate and, if you like, require it before approval unlocks. The customer pays on the spot. The credit sits on their profile and applies itself to the final invoice.

Pay invoices online

Card or ACH through Stripe Checkout, or inline card payment with Authorize.net or NMI. Payment history shows on the invoice. Card surcharges, if you use them, are disclosed before the tap.

Track the tech live

A live map with the technician’s position, ETA, and distance, refreshing as they drive. Show the tech’s photo and bio — even a short video — so the customer knows who’s knocking.

Confirm appointments

The reminder carries a confirm link. One tap and the appointment is confirmed on your board — no reply to read, no note to type.

Pick a proposal package

Good, better, best — or however many options you built — laid out side by side with a Recommended badge and optional add-ons. Accept with a drawn signature, or decline.

Sign real documents

Work authorizations and contracts sent through DocuSign or Dropbox Sign open in your branded portal. Once signed, the same link becomes a permanent download page for the completed PDF.

Join & manage memberships

Customers pick a property, a program, and monthly or prepaid billing, then pay. Stripe members manage their own billing later without calling you.

One job, from their side

Six moments, zero calls to the office

Here’s a furnace replacement the way the customer experiences it. Every step is a link they already have in their pocket.

1

The estimate arrives Link

A text and an email with a secure link. They open it at the kitchen table, see the options and member pricing, pay the deposit, sign with a finger, and approve.

2

The reminder asks for a confirm Link

The day before, the appointment reminder carries a confirm button. One tap. Your board shows the visit confirmed.

3

The tech goes en route Automatic

The On My Way notification includes a tracking link. They watch the truck on a map with a live ETA and see who’s coming, with a photo and bio.

4

The invoice lands Link

Deposit already applied. They pay the balance by card or bank in under a minute and download the PDF for their records.

5

They join the maintenance plan Customer

A membership signup link opens the portal already signed in. They choose the program and billing, pay, and they’re a member.

6

The first plan visit comes due Link

Months later, a reminder lets them book a real arrival window straight onto your schedule board — capacity-checked and skill-matched. See how self-scheduling works.

Your brand, your rules

It looks like you, and you hold the switch

The portal is a front door to your business, so it wears your name and colors — and you decide who gets a key.

Your logo and colors

Your primary location’s logo sits at the top. Sidebar background and text colors are set once in Account Settings and applied everywhere the customer looks.

Your words in every email

Portal emails use your mailer templates — introduction, closing, footer, disclaimer, and license text are yours, matching the rest of your customer email.

Invite who you want, when you want

Staff create the portal user; the customer gets a seven-day invite link and sets their own password. Forgotten-password resets are self-service and expire in an hour.

Switch it off account-wide

One setting disables portal login for every customer. Pay and approval links keep working, so turning the portal off never turns off getting paid.

Restrict a single customer

A checkbox on the client record blocks portal access for that one account without touching anyone else.

SMS consent, recorded

Customers opt in or out of texts and silence reminders themselves. Each change is timestamped with its IP address, so your A2P compliance record writes itself.

Portal users are not seats

Every customer can have portal access and it costs you nothing. The flat $40 per user per month covers your staff — admins, dispatchers, technicians, warehouse. Your customers are free, however many of them log in.

Send the first link tonight

Every account includes the customer portal, secure links, live tracking, e-signature, and online payments. No add-on module, no per-customer fee.

Customer portal FAQ

No. Every action a customer needs to take in the moment — pay an invoice, approve and sign an estimate, pay a deposit, confirm an appointment, track the technician, pick a proposal package, sign a document, or book a plan visit — works from a secure, expiring link in the text or email you already send. A portal account is optional; it adds a dashboard with full appointment and invoice history, memberships, and notification preferences.

Through your own payment processor. Stripe Checkout handles cards and ACH bank payments, and Authorize.net and NMI are accepted inline on the invoice page. If you prefer, customers can ask for the QuickBooks invoice by email. Deposits paid on an estimate are held as a credit and apply automatically when the job is invoiced. Card surcharges, where you use them, are disclosed before the customer pays.

Yes. When the tech goes en route, the customer’s arrival notification carries a tracking link that opens a live map with the technician’s position, ETA, and distance, updating as they drive. You can include the technician’s photo, a short bio, and even a bio video. The link is only live around the visit itself.

Yes. The portal carries your company name and your primary location’s logo, and you set the sidebar background and text colors from Account Settings. Portal emails use your mailer templates — intro, closing, footer, disclaimer, and licensing text are yours to write.

Both. An account-wide setting disables portal login for everyone, and a per-client setting restricts portal access for a single customer. Secure pay and approval links keep working either way, so switching the portal off never stops you getting paid.

No. The portal, secure links, live tracking, e-signature capture, and online payments are all included in the flat $40 per user per month. Customers using the portal are not users — there is no per-customer or per-portal-seat fee.
