Twenty years of records, two sources, one system

Integration started in May 2026. Customer data came out of QuickBooks Desktop. The service agreement base lived somewhere else entirely — a separate Excel spreadsheet. Both were transferred, cleaned, and de-duplicated on the way in.

Technicians started working in the product on July 15, 2026. Because the system being built was genuinely complex, there was a great deal to learn and adjust — roughly fifty support emails a day, for a solid month.

We have been thoroughly impressed with Dispatch Scout. After relying on pen, paper, and QuickBooks Desktop for 20+ years, we evaluated CRMs like ServiceTitan, FieldEdge, and Housecall Pro. Meeting the owner to discuss moving away from pen and paper was a great start. I am highly detailed and have a very specific, meticulously mapped-out system for record-keeping built over the past 15 years. As Central Alabama's largest residential heating and air company, we run a true 24/7 operation and maintain an in-house call center. One of my biggest concerns was losing the ability to handle our complex tasks—specifically how we contact customers, track accounts, and manage marketing.

Running 24/7 means that during the day, our office dispatchers manage everything from desktop computers. But at night and on weekends, our on-call field technicians have to take calls and dispatch from their cell phones or iPads. Now, new and existing customers receive automated text links to welcome landing pages, and customers who decline a service agreement automatically receive educational follow-ups giving them the opportunity to purchase one, integrating right back into Dispatch Scout. We even integrated automated bio videos, so when a tech is on the way, the customer gets a text with a GPS location, ETA, and a video introducing the tech so they feel comfortable before there’s even a knock on the door.

There are so many features in this product, and I know more are coming. When you combine all of this and compare the price to an industry leader like ServiceTitan—which was going to cost us over $50,000 a year—Dispatch Scout is a fraction of the cost with unbeatable support. Their willingness to cater the product and create things around what we needed is honestly unheard of. It feels like I hired a company to work for me rather than just being one of 50 other customers waiting in a queue. Even if they feel like I’m their only client because I bug the crap out of them, it has worked incredibly well.

We are highly satisfied, highly recommend them, and are really glad we made the decision to go with Dispatch Scout.
