Missed-Call Text-Back: Keep the Lead Talking When Nobody Picks Up

September 12, 2026 · 6 min read

A missed call that only pings your office is half a solution. The homeowner who just dialed your tracking number still thinks nobody cares — and they’re already scrolling for the next shop.

Missed-Call Text-Back flips that. When an inbound tracked call is missed, Dispatch Scout can SMS the caller from your business so the lead keeps talking to you — not just an alert for the CSR who was already buried.

Office Alerts Don’t Warm the Lead

Missed-call push and email alerts still matter. Your team needs to know a tracked number rang and nobody answered. That’s how leads get created and callbacks get queued.

But the caller doesn’t see those alerts. From their side, silence. Ten minutes later they’ve called a competitor who texted back in thirty seconds. The lead didn’t go cold because your CRM failed — it went cold because the conversation stopped at the ring.

Team alerts notify the shop. Text-back keeps the caller in the conversation. You need both. They’re separate on purpose.

What Missed-Call Text-Back Actually Does

When a tracked inbound call is missed, and the feature is opted in, Dispatch Scout sends one SMS to the caller from your business sender. The message is your template — business name, optional first name, callback number — so it reads like your shop, not a generic autoresponder.

That sits alongside everything you already get from marketing & call tracking: lead creation, source attribution, and team missed-call alerts. Text-back doesn’t replace those. It closes the gap the caller actually feels.

How It Works

  1. An inbound call hits a tracked number (native Twilio tracking or CallRail).
  2. The call is missed — no answer, no pickup into a live agent flow.
  3. If Missed-Call Text-Back is enabled, Dispatch Scout looks up the caller’s line type.
  4. If the number is textable, one SMS goes out from your configured SMS sender.
  5. The outcome is recorded on the call so retries and webhooks don’t double-send.

If the call already has a client, a short client note is left so anyone opening the record sees that text-back fired. No client on the call yet? No note spam — the SMS still goes when the number is textable.

Landlines Never Get Texted. Double-Sends Don’t Happen.

Home service call logs are full of landlines, fax leftovers, and odd carrier numbers. Blasting SMS at those is how you burn sender reputation and annoy people who can’t reply.

Before send, Twilio Lookup checks the line type. Only textable lines get a message. Landlines are skipped. Failed or unknown lookups are also skipped — no guessing, no send.

And it’s one text per missed call. The outcome is recorded so a duplicate webhook, a retry, or a second status update doesn’t fire another SMS. Your callers get one clear “sorry we missed you” — not a drip of the same apology.

Your Words, With Guardrails

Opt in under Settings → Call Tracking: toggle Missed-Call Text-Back and edit the message template. You need an SMS sender configured; the settings page warns if the toggle is on without one.

Placeholders you can use:

  • {business_name} — your shop name
  • {caller_first_name} — dropped when the client is unknown (no awkward “Hi ,”)
  • {business_phone} — the number you want them to call back

Unknown brace tokens are blanked. The body is trimmed and capped at 320 characters so you stay in one clean SMS, not a novella that gets split across three bubbles.

Native Tracking and CallRail

Shops already on Dispatch Scout call tracking get this on native Twilio-tracked numbers. Shops that keep CallRail for campaign numbers get it too — missed CallRail-tracked calls can trigger the same text-back path when the feature is enabled.

Same rules either way: opt-in, landline-safe lookup, one send per missed call, SMS sender required.

Turn It On in Under a Minute

  1. Confirm an SMS sender is set up for the account.
  2. Go to Settings → Call Tracking.
  3. Toggle Missed-Call Text-Back on.
  4. Edit the template — keep it short, human, and easy to call back.
  5. Miss a test call on a textable number and confirm the SMS + call outcome look right.

There’s an in-app help article with the full settings walkthrough. No App Store dance, no separate product SKU — it ships inside call tracking.

Included in the flat $40/user/month. Missed-Call Text-Back is not an add-on. If you already run call tracking and SMS, you’re a toggle away.

FAQ

What is Missed-Call Text-Back?

An opt-in SMS to the caller when an inbound tracked call is missed — so the lead keeps talking to your shop, not just an alert for your team.

Is it the same as missed-call alerts?

No. Push and email alerts still notify the office and help create leads. Text-back is separate and messages the caller.

Does it work with CallRail?

Yes. Native Twilio call tracking and CallRail both support Missed-Call Text-Back.

Will you text landlines?

No. Twilio Lookup checks line type first. Landlines never get a text; failed or unknown lookups skip the send.

Can the same missed call get two texts?

No. One text per missed call, with the outcome recorded so retries and webhooks don’t double-send.

Does it cost extra?

No. It’s included in the flat $40 per user per month.
